13. Managing companies
Several companies
Module: Companies. Included in every plan.
One account can belong to several companies. Typical cases: a holding with subsidiaries, a consultant with several firms of their own, or a shared office.
- Create — Companies → + New. You automatically become the owner of the new company; the number range and the standard template come with it.
- Switch — through the company switcher at the top right. The whole application then shows only that company's data.
- Delete — only without invoices, or with explicit confirmation. All of the company's data goes with it.
Important
The separation between companies is complete. Invoices, customers, catalog, templates, bookkeeping, number ranges and members always belong to exactly one company. There is no way to see into another company's data from inside one — not even by manipulating the address.
What your plan unlocks
Two layers decide together what you see:
- Is the module unlocked? — your plan, plus individually purchased add-ons, plus the extras we activate on request.
- Does your role allow it? — your access level in this company.
Only when both are true is a module usable. Without the unlock the module is invisible even to the owner; without the role it is invisible to that person but present for others.
| Module | Unlocked by |
|---|---|
| Invoices, Customers, Catalog, Templates, Numbering, Tax Categories, Bookkeeping, User Management, Audit Logs, Billing, Companies, Dashboard | every plan |
| Scan | every plan |
| Quotations, order confirmations, delivery notes | from Professional |
| E-Invoice | from Professional |
| Designer, Invoice → Template | from Business |
| Banking, bank connection | from Business |
| Automatic reminders | on by default, can be switched off on request |
| Letter dispatch | extra, on request |
| PEPPOL dispatch | extra, on request |
Billing
Module: Billing. Visible to the owner and company admins.
The page shows your current plan, the state of the subscription and the date of the next renewal. From here you can:
- Change plan — monthly or yearly, then the plan.
- Buy a single module — when only one module is missing.
- Manage subscription — opens the payment provider's customer portal: change the payment method, download receipts, cancel.
- Card payments — connect your own account so your customers can pay by card.
The status means:
| Status | Meaning |
|---|---|
| active | all is well |
| past due | a payment failed and is still being retried for several days. Your modules stay active in the meantime and you receive an e-mail. |
| cancelled | the modules granted by the plan are switched off, the data stays |
The company profile
Companies → Edit. All the fields and what they mean are in the Getting started chapter. One thing worth knowing:
Every active member may read the company profile — it appears on every invoice anyone writes or previews. Changing it requires the permission to do so.
Support
Questions about operations, activation of the letter and PEPPOL extras, activation links, outages: use the support address stored in your account under platform settings, or the address from your contract confirmation.
Have three things ready and it will be quick:
- your company name and the document number concerned
- the time of the incident
- the exact message you saw
With those, support can find the exact event in the audit log and the system records.
